Policies and Procedures

 

Registration Process 

Registration opens approximately 3 weeks prior to the start of the session. Before registration opens, be sure to carefully review the club schedule, read the club descriptions, and chat with friends to decide which clubs your child would like to sign up for. While registration will remain open for at least a week, some clubs fill up VERY quickly (within minutes), so we recommend logging into Homeroom right when registration opens for the best chance at getting a spot in the clubs your child is most excited for.    

 

You MAY make changes to your club selections during the open registration period. However, once that window closes all selections are final and we will be unable to switch your club or offer any refunds.   

 

We use Homeroom to manage club registrations. Be sure you have your login and password ready to go before registration opens. We recommend you log in to double check that your student/family information is correct and your saved payment method is updated, as this will save you time during the check-out process. If this is your first time using the Homeroom website, create your account and add your payment information BEFORE registration opens. 

 

When registering for clubs, fill out the answers to all questions, acknowledge any permission waivers, make sure you select your child's current homeroom teacher, complete emergency contact information, and indicate which club dismissal method your child will be using. 

 

Cancellations and Refunds

If you'd like to make any changes to your club selections, you must do this during the open registration window. Once the registration period has closed, the rosters are finalized, teachers are paid, and no further changes will be permitted. To request a change or cancellation while the registration window is still open, email VPActivities@roughriderspta.com. Do not contact Homeroom customer support directly, as they will be unable to assist you. 

 

Cancelled Club Days (Natural Disaster/Weather)

In the event a club school day is cancelled due to a natural disaster or inclement weather, we will make every effort to add a make-up day for that club. However, we cannot guarantee that this will be possible. There will be no refunds for cancelled club days that cannot be made up. 

If a teacher is unavailable on one of their club days due to absence or illness, they are responsible for finding someone to cover the club for them. Therefore, we do not anticipate any missed club days due to teacher absences.   

 

Waitlist

If the club you'd like to register for is full, you can join the waitlist. Don't be discouraged, as we are often able to accommodate additional children as we balance the rosters. If there is space for your child, you will receive an email before clubs begin with an invitation to join. If you add your child to a waitlist, you are welcome to register them for another available club at the same time. Should a spot become available in the waitlisted club, you will be contacted and will have the option to switch. 

 

Payment

Each club costs $150 per student, per club. You must pay for clubs in full during the registration process.  All payments are made through the Homeroom website. 

 

Dismissal Procedures 

When registering, please list all individuals (family, friends, nannies, etc) who are authorized to pick up your child. There are 4 options for dismissal: Concordia Walker, Concordia Carline, On Campus YMCA (for students who are currently registered for this program), and Martial Arts Advantage Pick Up (this is available on MONDAY ONLY to students currently enrolled in their After-School Ninjas program). Please be sure to select the correct dismissal option for your child when registering them. 

 

If your child is an Independent Walker with a black backpack tag, they will be dismissed from the Concordia Gate and allowed to walk home alone. Note that they MUST already have the black Independent Walker tag issued by the school in order to be dismissed without a parent. 

  

It is IMPERATIVE that you are on time to pick up your child at the end of clubs. Monday clubs end at 2pm and Wednesday/Thursday clubs end at 3pm. If you are more than 5 minutes late, our dismissal duty teachers will make a note of it. If you are late 3 times, then your child's registration will be withdrawn (without a refund) and they will not be able to continue attending clubs. 

 

Club Capacity

Many clubs have a minimum enrollment requirement in order for the club to be offered. In the event this minimum is not met, and we have to cancel a club, we will reach out to each family as soon as possible. We will make every effort to move the affected student to another club of their choice.

  

Alternatively, once a club is full, you have the option to join the waitlist. If a spot becomes available, you will be notified by email. You will have 24 hours to accept the spot and complete your registration. If you do not respond within 24 hours, we will move down the list to the next waitlisted student. If you are on a waitlist for a club, please keep an eye on your emails during the club registration period. 

 

Behavior Policy

We want After School Enrichment Clubs to be a safe, positive, and fun experience for every student. Students are expected to follow directions, treat others with kindness and respect, and participate in a way that does not disrupt the club or create an unsafe environment.

 

If a student exhibits unsafe, disruptive, or unkind behavior, they will receive one warning, and a parent/guardian will be notified. If an incident occurs again, the student will be removed from the club for the remainder of the session without a refund.
