Policies and Procedures

Registration Process 

Registration will be open approximately two and a half weeks prior to the start of the session. Before registration opens, be sure to carefully review the club schedule, read the club descriptions, and chat with friends to decide which clubs to participate in. Register for all the clubs you're interested in before the registration window closes.  

You MAY make changes to your club selections during the open registration period. However, once that window closes all selections are final and we will be unable to switch your club or offer any refunds.   

We use Homeroom to manage club registrations. Be sure you have you login and password ready to go before registration opens. We recommend you log in to double check that your saved payment method is up to date, as many clubs will fill up quickly, and this step will save you time during the check-out process.  If this is your first time using the Homeroom website, create your account and add your payment info BEFORE registration opens. 

When registering for clubs, fill out the answers to all questions, acknowledge any permission waivers, make sure you select your child's current homeroom teacher, complete emergency contact information, and indicate which club dismissal method your child will be using. 

Cancellations and Refunds

If you'd like to make any changes to your selections, you must do this during the open registration window. Once the registration period has closed, the rosters are finalized, teachers are paid, and no further changes will be permitted. 

Canceled Club Days (Natural Disaster/ Weather)

In the event a club school day is cancelled due to a natural disaster or inclement weather, we will do our best to add a make-up day for that club. However, we cannot guarantee that this will be possible. There will be no refunds for cancelled club days that cannot be made up. 

If a teacher is unavailable on one of their club days due to absence or illness, they are responsible for finding someone to cover the club for them. Therefore, we do not anticipate any missed club days due to teacher absences.   

Waitlist

If the club you'd like to register for is full, you can join the waitlist. Don't be discouraged, as we are often able to accommodate additional children as we balance the rosters. If there is space for your child, you will receive an email before clubs begin with an invitation to join. You are welcome to register your child for a club with available space on the same day as a club they are waitlisted for. Should a spot become available in the waitlisted club, you will be contacted and will have the option to switch. 

Payment

Each club costs $150 per student, per club. You must pay for clubs during registration, through the Homeroom website. 

Dismissal Procedures 

When registering, please list all individuals (family, friends, nannies, etc) who are authorized to pick up your child. There are 3 options for dismissal: Concordia Walker, Concordia Carline, and On Campus YMCA (for students who are currently registered for this program). Please be sure to select the correct dismissal option for your child when registering them. 

If your child is an Independent Walker, they will be dismissed from the Concordia Gate and allowed to walk home alone, but they MUST have the black Independent Walker tag issued by the school. 

It is IMPERATIVE that you are on time to pick up your child at the end of clubs. Monday clubs end at 2pm and Wednesday and Thursday clubs end at 3pm. If you are more than 5 minutes late, our dismissal duty teachers will make a note of it. If you are late 3 times, then your child's registration will be withdrawn (without a refund) and they will not be able to continue attending clubs. 

Capacity

Many clubs have a minimum enrollment requirement in order for the club to remain open. In the event this minimum is not met and we have to cancel a club, we will reach out to each family as soon as possible so they can switch to another club.  

Alternatively, once a club is full, you have the option to join the waitlist. If a spot becomes available, you will be notified by email.  You will have 24 hours to accept the spot. If you do not respond within 24 hours, we will move down the list to the next student. Please stay attentive to your email during the club registration period. 

Behavior

Clubs are a privilege that teachers, staff, and the PTA delight in offering to our Roosevelt families.  Your child is expected to behave respectfully, be kind to others, follow directions, and avoid unsafe and disruptive behaviors. If a child is not following these expectations, we will reach out to their parents with a written warning. After 2 warnings have been given, the student will be withdrawn from clubs (without a refund) if another behavioral incident occurs.
